Importing an ICS-file

  • How it works:
    An ICS file is a static file that contains calendar information (e.g. appointments, events, reminders). This file is imported into a calendar application.
  • Update:
    After the import, the data remains static. Changes to the original calendar (e.g. new or changed appointments) are not updated automatically. To obtain new information, the file will have to be imported again.
  • Benefits:
    • works offline. No internet connection is required after the import
    • quick one-off transfer of calendar data
  • Disadvantages:
    • no automatic synchronisation
    • manual update required for changes to the original calendar

Step 1: Login to LSF

Login to  LSF System with your HTW-Account.

Step 2: Select option iCal-Export

As a teacher, you will find the option: ‘iCal Export’ in the top right-hand area under the semester selection. Please click on this link to download the ICS file.

Depending on your device settings, your browser will ask you to specify the storage location of the file or will save the file in a previously defined directory. If you want to specify the storage location explicitly, you can right-click ‘iCal Export’ and select ‘Save link as ...’ or ‘Save file as ...’.

Step 3: Importing ICS file

This step differs depending on the calendar used. The following descriptions refer to the solutions Mozilla Thunderbird and Open-Xchange (OX) offered by HTW.

3a: Import to Mozilla Thunderbird

After starting Thunderbird, please open the ´Thunderbird Menu' at the top right corner (three horizontal lines). Select `Tools' > `Import' then a wizard will opening. Follow the instructions.

  • Import from a file
  • Import Calendars
  • Select downloaded ICS file
  • You will see a list of all appointments and the option to select which appointments/scheduling should be imported. If you want to import all simply click `Next'. We recommend using your own calendar. 
  • You can now choose where the selected items should be imported. You can select one of the calendars listed or create a new calendar (last option).
  • In the last step, start the import and then close the wizard

In the calendar view, you will now see the LSF appointments: If you want to rename the new calendar, double-click on the name in the list of calendars on the left side: You now have the option of renaming the calendar or also determining the colour of the appointment entries.

3b: Import to Open-Xchange (OX)

After logging in, please switch to calendar view. On the left-hand side, you will find the option ‘Neuen Kalender hinzufügen’ > ‘Datei hochladen’. Now select the downloaded ICS file and name the calendar. Click on ‘Importieren’ to finalise the process.

Step 4: Using calendar

All data of your personal timetable from LSF has been transferred and is available.
